We will collect and process your personal information to provide these services to you. This will include:

• Assessing your application for a course
• Assessing whether you meet any eligibility criteria for a course and/or public funding
• Undertaking returns to the government in respect of publicly funded education provided to you
• Report to the West Midlands Combined Authority (WMCA) and Education and Skills Funding Agency (ESFA)
• Obtain unique learner numbers from the Learning Records Service
• To support your learning
• Monitor and report on student progress
• Provide appropriate pastoral care
• Assess the quality of our services
• Support you to decide what to do after you leave the programme of learning
• Provide information, advice and guidance and to promote further learning opportunities
• Carry out statistical analysis that allows us to target and plan the provision of services

• Personal details; including name, gender, address, email address, telephone number, National Insurance Number and date of birth
• Ethnicity
• Prior academic attainment
• Residency
• Health information (e.g. learning difficulties, disabilities and/or health problems that may affect your learning
• Employment and benefits status (in order to confirm eligibility for fee remission and WMCA and ESFA funding)
• Household data
• The course details you have enrolled on
• Financial details - details are only collected if you apply for financial support
• Examinations and achievements
• Visual images

We may record and monitor telephone calls to our contact centre for quality and training purposes.

We use CCTV at our buildings for the purpose of crime prevention, security and health and safety and accordingly will capture imagery of visitors to AEW.

• We use a range of organisations to either store personal information or help to deliver our services to you. Sometimes we have a legal duty to provide your personal information to other organisations, for example the West Midlands Combined Authority and Education and Skills Funding Agency.
• We may also share your personal information with these organisations:
  • The awarding body of any exam you undertake
  • An approved third party contractor who will contact you in order to collect information on the impact and outcomes arising from your learning with us
  • Childcare providers where we organise this service for you
  • If applicable, the Student Loans Company in connection with grants, fees, loans and bursaries
  • If applicable, other third party agencies who referred you to AEW, in order that we can provide them with confirmation of your attendance and progress on your course. These could include:
    • Jobcentre Plus
    • Government funded training providers
    • National Careers Service

The personal data that is shared will always be limited to what the other organisation needs to meet its requirements or deliver its service.

Your information will not be disclosed to any other organisations, except where we are required and allowed to by law.

We will retain this information for as long as it is required for these purposes and in accordance with WMCA, ESFA and European Social Fund (ESF) guidelines.  For WMCA and ESFA this will be for seven years after your course has finished, for ESF funding 13 years.

We will also share certain information about students aged 16-19 with our local authority as they have responsibilities in relation to the education of training of 13-19 year olds under section 507B of the Education Act 1996.

AEW will not sell or share your information to a third party for marketing activities.  AEW uses the term ‘marketing’ only in terms of advertising future courses or events.
For marketing purposes, we collect name, address, contact number, email address and postcode. We use this information to:

• Summarise your residency for specific locality based marketing pushes
• Inform you of upcoming courses or event at AEW

A cookie is a text file stored on your computer or mobile device by a website’s server and only that server will be able to retrieve the contents of that cookie.   Each cookie is unique to your web browser. It will contain some anonymous information such as unique identifier and the site name and some digits and numbers. It allows a website to remember things like your preferences.

AEW use cookies very simply in order to support the basic functions of our website, as summarised below:

We use Google Analytics to monitor traffic levels, search queries and visits to this website. Google Analytics stores IP addresses anonymously on its servers in the US, Google never associate your IP address with any personally identifiable information.
